Position Overview

The Customer Service Specialist (CSS) is responsible daily to prepare documentation, maintain records, and coordinate logistics for product shipment.  The CSS also will interact with customers to provide information in response to inquiries about product and services.  Additionally, this position is responsible for supporting various departments in the company by entering personal customer and account information into financial software or data spreadsheets.

Organizational Support Responsibilities

  • Confer with customers by telephone or via email/fax to provide information about products and services, to take orders and enter in appropriate systems.
  • Present a professional, welcoming first contact to all customers, vendors, staff, etc. – by phone, in person, and email; Provide support for organizational functions and general meeting support: including arranging, follow up calls, maintaining conference room schedules, copying + faxing.
  • Provide support for incoming and outgoing mail, shipping and receiving via USPS, UPS, FedEx, etc.
  • Prepares documentation, maintains records, and coordinates logistics for all product shipments.
  • Leads communications within the Shipping/Receiving area. Schedules and Coordinates both Domestic and International freight forwarder transactions.
  • Maintains Shipping records, including providing tracking or shipping history information to customers on request.
  • Prepares Shipping paperwork as well as completes shipping transaction in appropriate systems.
  • Prepare boxes with appropriate labels for shipment as required.
  • Provide guidance to others within the Shipping/Receiving area.
  • Communicates status of Shipping/Receiving activities to appropriate personnel. May train new hires.
  • Generate shipping output documents as required.
  • Generate customer invoicing upon shipping. Audit reports daily to ensure all invoicing is completed.
  • Handle the general inquiries from the sales team.
  • Review all data for errors and report any unusual finding to management.
  • Collect and determine completeness of all information before entering data into software programs.
  • File and organize paperwork used to enter data into programs to keep a record of original documents.
  • Experience maintaining a professional level of privacy.

Work Hours

Monday – Friday; 8 a.m. to 4:30 p.m. CST.  Hours may vary seasonally.
